Compensation:                            $50,000 – $55,000 total compensation (Includes base salary plus 15% benefits stipend)

Position Summary: Join a team strengthening families and building trauma-responsive communities through relational
training and connection.

Hope &  Healing JAX (HHJ) is seeking a highly organized, detail-oriented Program Coordinator to conduct the day-to-day logistics of our training programs. This role ensures trainings run smoothly from scheduling through completion by managing communication, documentation, materials, and partner coordination.

This role helps create predictability and consistency for partners, facilitators, and participants, supporting a calm and well-organized training experience. We value team members who communicate clearly, stay grounded during shifting priorities, and approach colleagues and external partners with professionalism, curiosity, and respect.

This is a primarily remote position with weekly local travel for community events, supply coordination, site visits, and periodic in-person team workdays. Occasional evening and weekend availability is required. Reports to Director of Operations.

Hope & Healing JAX is a 501(c)(3) nonprofit that equips adults who care for and work with children through Trust-Based Relational Intervention® (TBRI®) and Positive Discipline training.

We focus on strengthening connection, building felt safety, and helping communities understand the impact of trauma so children and families can thrive. Through partnerships with schools, organizations, and community leaders across Jacksonville and beyond, we deliver relationship-based trainings that promote healing, resilience, and lasting change.

Key Responsibilities:

  • Coordinate logistics for confirmed trainings, including schedules, locations, and virtual sessions

  • Create and manage calendars, meeting links, and reminders

  • Serve as responsive and supportive primary point of contact for partners, facilitators, and participants.

  • Ensure timely, clear communication that helps participants, partners, and facilitators feel informed and prepared.

  • Track registrations, attendance, evaluations, and participation data

  • Maintain accurate records in Asana and shared systems

  • Prepare training materials and coordinate supply needs

  • Provide weekly planning updates and support program tracking

  • Support post-training follow-up and documentation completion

Work Environment: This is a primarily remote role. Work is performed from a home office using a Mac computer (provided) and shared digital systems, with weekly local travel for events and team workdays. The ability to remain flexible, organized, and solution-focused during changes is important in this role.

Minimum Qualifications:

  • Bachelor's Degree or 2+ years of experience in program coordination, event coordination, administrative operations, or similar roles
  • Valid FL Drivers License

  • Strong organizational and time-management skills

  • Clear written and verbal communication

  • Facility with electronic communications and platforms

  • Ability to manage multiple priorities with strong attention to detail

  • Demonstrates reliability, follow-through, and the ability to work independently while staying connected to a collaborative team

  • HHJ is seeking a team member who values relational practice, collaboration, and approaching people with curiosity and compassion

Preferred Qualifications:

  • Experience with project management tools (Asana preferred)

Schedule:

This full-time position averages approximately 40 hours per week, with core hours of 8:30 AM to 4:30 PM. Occasional evening or weekend support will be needed during regularly scheduled trainings and peak training seasons.

Screening Requirement: Employment is contingent upon successful completion of a background screening in accordance with organizational policy and applicable law.
